What a new employee sees, in the order they will see it — from the first email to a completed enrolment.

Before you start

Have these to hand and the whole thing takes about fifteen minutes. Stopping halfway to find a date of birth is what turns it into a half-hour job.

  • Date of birth and Social Security number for yourself and anyone you are covering
  • Your spouse's employer details, if they have coverage available to them
  • Your primary care doctor's name, if the plan asks you to name one
  • Beneficiary details for life insurance — a name, a relationship, and roughly how you want it split

What you will see, in order.

You have thirty days from your eligibility date. Miss it and, in almost every case, the next opportunity is open enrolment or a qualifying life event.

The invitation email

It comes from Employee Navigator, not from us and not from your employer's own address. If it is not in your inbox, check spam before asking — that is where it usually is.

Register

You will need your company identifier, your last name, and your date of birth. First-time registration sets your own password; after that it is just a normal log-in.

Confirm your details

Address, phone, and marital status. This is also where the plan gets your correct address for ID cards, so it is worth reading rather than clicking through.

Add dependants

Everyone you might cover, on any plan. Adding someone here does not enrol them — you choose plan by plan on the next screens. It is easier to add everyone now than to go back.

Choose each benefit

Medical, then dental, vision, life and anything voluntary. Each screen shows your per-paycheque cost. Declining is a deliberate choice you have to make, not something you can skip past.

Beneficiaries

For life insurance. Percentages have to total one hundred. Naming a contingent beneficiary takes ten extra seconds and saves a great deal of difficulty later.

Review and sign

Electronic signature at the end. Nothing is submitted until you sign. Download the confirmation — it is the only record of what you elected and when.

Common snags

The site says my details do not match

Registration checks against exactly what your employer entered. A hyphenated surname, a middle initial, or a date of birth typed in the wrong order will all fail. Ask HR what is on your record rather than guessing.

I cannot see a plan I was told about

Usually eligibility: a waiting period that has not finished, or an hours threshold. Occasionally it is a configuration issue, which we can fix quickly if you tell us.

I enrolled but have no ID cards

Cards come from the carrier, not from Employee Navigator, and typically arrive one to three weeks after the enrolment file reaches them. You can usually get a digital card from the carrier's own app sooner. If you need care before then, call us.

I made a mistake and already signed

If you are still inside your thirty-day window your employer can reopen it. After that a change needs a qualifying life event. Ask straight away rather than waiting.
